Data Collection

The qlab.uw.edu.pl website stores HTTP requests directed to our server. Resources are identified by URLs. The following information is stored in the web server log files:

  • the public IP address of the computer from which the request came,
  • the name of the client station,
  • the number of bytes sent by the server,
  • the URL of the page previously visited by the user (referrer link),
  • information about the user’s browser,
  • information about errors that occurred during the HTTP transaction.

This information does not contain data regarding the direct identity of users, but in combination with other information, it may constitute personal data. Consequently, the Data Controller extends full protection to it under the regulations governing the protection of personal data.

Data Usage

Collected logs are stored indefinitely as auxiliary material used for website administration. The information contained therein is not disclosed to anyone except persons authorized to administer the website. Based on log files, statistics may be generated to assist in website administration and optimization.

Purposes and Legal Bases for Processing

We will process your personal data for the purpose of:

  1. conducting communication with you via email or telephone, if you initiate such communication – Article 6(1)(c) of the GDPR (processing is necessary for compliance with a legal obligation to which the controller is subject, resulting from regulations including the Law on Higher Education and Science);
  2. improving the quality of services by processing statistical information regarding website usage – Article 6(1)(f) of the GDPR (legitimate interest of the controller consisting in facilitating website usage, improving the quality and functionality of the provided services);
  3. recruitment and handling job/internship inquiries – based on legal regulations (Article 6(1)(c) of the GDPR) and your consent regarding additional data (Article 6(1)(a) of the GDPR);
  4. handling newsletters or mailing lists (if launched) – Article 6(1)(a) of the GDPR (based on the consent of the data subject).

You can withdraw your consent to the processing of personal data at any time by sending an email to: qlab@uw.edu.pl. The withdrawal of consent does not affect the lawfulness of processing based on consent before its withdrawal.

We may also process your personal data to perform a task carried out in the public interest (Article 6(1)(e) of the GDPR) and for purposes resulting from legitimate interests pursued by the controller (Article 6(1)(f) of the GDPR).

Recipients of Personal Data

Authorized employees and associates of the University of Warsaw involved in the tasks of the QLAB Center will have access to your personal data. The recipients of the data may also be entities to which the controller entrusts the execution of specific technical or administrative activities (e.g., IT service providers), with whom relevant personal data processing entrustment agreements have been signed.

Retention Period of Personal Data

Your personal data will be processed until the completion of the purpose for which the data was collected, and then, in cases that require it, for the period specified in the Act of July 14, 1983 on National Archival Resources and Archives, and the provisions of the Telecommunications Law.

Rights Related to Data Processing

We guarantee the exercise of your rights under the terms specified by the GDPR:

  • the right to access your data and receive a copy of it;
  • the right to rectify (correct) your personal data;
  • the right to restrict the processing of personal data;
  • the right to erase personal data (subject to Article 17(3) of the GDPR);
  • the right to lodge a complaint with the President of the Personal Data Protection Office (UODO) if you consider that the processing of data violates the law.

Obligation to Provide Data and Consequences of Failure to Do So

Providing data processed in connection with the performance of a legal obligation is mandatory. In the case of processing data based on consent, providing data is fully voluntary. Failure to provide data may make it difficult or impossible to fulfill communication or recruitment objectives.

Enforcement Procedure

Everyone has the right to request the digital accessibility of a website or any element thereof. You may also request that information be made available via an alternative access method (e.g., by reading a document).

The request should contain the data of the person making the request, an indication of which website is concerned, and the preferred method of contact. The public entity should fulfill the request immediately, no later than within 7 days. If meeting this deadline is impossible, it shall immediately inform the person making the request of the new realization date (not longer than 2 months).

In the event of a refusal to ensure accessibility or an alternative method of access, the person making the request may lodge a complaint regarding the digital accessibility of the website. After exhausting the specified procedure, an application may also be submitted to the Commissioner for Human Rights (Ombudsman).

The QLAB Center operates in a modern facility of the Faculty of Physics at the University of Warsaw located at: ul. Pasteura 5, 02-093 Warsaw, Poland.

  • Building Entrance: The main entrance to the building from Pasteura Street is fully accessible from ground level, free of architectural barriers (no steps, wide automatic sliding doors).
  • Corridors and Walkways: The building is fully adapted for individuals using wheelchairs. The facility is equipped with elevators serving all functional floors, wide corridors, and threshold-free passages. Appropriately marked and adapted toilets are available on each floor.
  • Transportation and Parking Spaces: Public transport access is provided by buses and trams operating in the area of Grójecka, Banacha, and Żwirki i Wigury streets (Ochota Campus). Designated and clearly marked parking spaces for people with disabilities are located directly at the building and within the internal campus area.
  • Right of Entry with an Assistance Dog: Entry into the building with an assistance dog or a guide dog is permitted without any restrictions.
  • PJM Sign Language Interpreter: The need for a Polish Sign Language (PJM) interpreter should be reported to the UW Office for Persons with Disabilities (BON) at least 3 days in advance.
